How to Create Durable Inventory and Asset Tag Labels with Barcodes & QR Codes
Best practices for designing tamper-evident asset tags, equipment identification stickers, and warehouse serial labels.
An asset label should remain useful when a person cannot scan it and when an application has to retrieve its record. Use a stable unique asset identifier as the anchor, then decide whether the code should return that identifier or a web address.
Define the asset reference first
For a demonstration laptop, use DEMO-ASSET-081. Store the reference as text in your asset system and check that it is unique before printing. A barcode generator does not enforce uniqueness across your organisation.
Do not make the label's only identifier a person's name, desk location or department. Those attributes can change while the physical asset remains the same. Keep changing attributes in the asset record where possible.
Choose an identifier or a link
Code 128 can return DEMO-ASSET-081 into a receiving text field. A QR code can return the same text or an HTTPS asset-page URL. These are different user experiences: a phone may display plain text, while a URL can open a page if network access and permissions allow it.
Do not embed an access token, password or sensitive asset details in a public label URL. Anyone who can photograph a label can inspect its data. Protect the destination using normal account permissions.
Build a 50 × 30 mm trial
- Enter the actual stock size in UDImaker.
- Add the organisation name and readable asset reference.
- Add Code 128 or QR Code with the chosen payload.
- Leave the quiet zone clear and place a short contact or return instruction outside it if useful.
- Test whether the full design fits at printed size before adding decorative elements.
If the code is too dense, enlarge the stock or shorten the stable identifier or URL where permitted. Do not squeeze the symbol into a leftover corner.
Evaluate durability on the actual surface
An equipment label may encounter cleaning agents, abrasion, heat or curved surfaces. Select material and adhesive for that environment. A graphic that looks tamper-evident does not make ordinary paper tamper-evident; that property comes from the chosen label construction.
Apply representative samples and check both adhesion and readability after the intended handling. Scan into the real asset system and confirm that DEMO-ASSET-081 resolves to the right record. Save the design JSON, approved output and stock specification together so a replacement tag can be reproduced without assigning a different asset identity accidentally.
